Short Definition
Real estate automation is the automatic execution of repetitive property-management and marketing tasks by software according to predefined rules — sending payment reminders, issuing invoices, flagging expiring leases and updating listings — to reduce manual effort and human error.
Overview
Legal Basis
There is no automation-specific law; its rules derive from the regulatory provisions on the lease relationship applied through Ejar (automatic renewal unless non-renewal notice is given 60 days ahead, and rent-adjustment requests 90 days ahead), the Riyadh provisions freezing annual increases for five years from 25 September 2025, ZATCA's e-invoicing requirements, the 2026 Real Estate Marketing and Advertising Regulation, and the Personal Data Protection Law (Royal Decree No. M/19 dated 9/2/1443H), which requires consent for direct marketing.
Practical Example
A Riyadh office manages 300 residential leases. It configures three automated rules: (1) remind each tenant 7 days before every due date; (2) alert the office 100 days before each lease ends so it can review it with the landlord ahead of the 90-day deadline for adjustment requests and the 60-day deadline for non-renewal notices; (3) block any rent increase for Riyadh properties until the freeze ends. In the first quarter late payments fall from 45 to 18, and the office avoids unwanted automatic renewal of two leases whose landlords intended to recover their units, by sending notices on time.
Common Mistakes
- ✗Setting alerts for the lease end date itself instead of the 60-day non-renewal deadline, so the lease renews automatically.
- ✗Automating annual rent increases for Riyadh properties despite the five-year freeze from 25 September 2025.
- ✗Sending automated marketing messages to tenants and prospects who have not consented to direct marketing.
- ✗Leaving listings live after their licences expire because no automatic removal alert was set.
- ✗Running automated rules without a log or human review of warnings and decisions with legal effect.
International Differences
Property-management automation is widespread, but the rules it encodes differ by market: in Dubai rent increases are linked to an official rental index, in Turkey the law ties residential rent increases to the consumer price index, and in Europe the GDPR governs automated marketing messages. In Saudi Arabia automation revolves around Ejar deadlines (60 and 90 days), the Riyadh freeze and e-invoicing, so an imported system without local configuration is prone to legal errors.
